Are you a first time party planner overwhelmed with how to find the best vendor for your upcoming celebration? We asked our team for their top tips and recommendations on how to find the perfect vendor for your event here on The Bash.
Here are 9 tips to help find and book the perfect vendor:
Browse our party planning inspiration before entering your request
So you know you want to have a celebration, now where do you start? We suggest checking out our Event Inspiration or Event Guide pages for some ideas about specific themes, types of events and party trends. Here you can find the perfect recipe to make your event a success. You can also explore our inspirational articles for ideas and more.
Determine what type of vendor you are interested in
Are you looking for a DJ, cover band, acoustic guitarist, or something more niche? Knowing the type of vendor you’re looking for on The Bash is key to making sure you’re getting the most relevant quotes for your budget.
Our site lists vendors based on the service type they provide but many of our vendors provide a variety of services. If you cannot find a specific service in your area, please contact our Account Services team to help you locate the best vendor that fits your needs.
When reaching out to vendors on The Bash, there will be a dedicated area to include specific details and we recommend including as much information in this area so our vendors can provide you with a customized quote.
Research and compare quotes ahead of booking
When searching on The Bash, it is important to review vendors’ profile pages. On these pages you can see photos, read through descriptions and bios, watch videos, check availability, review different services they offer, and peruse verified reviews. We have found that our verified reviews are one of the most important factors when hiring a vendor.
All reviews on The Bash are verified which means they were posted by planners who have previously booked through The Bash and that we do not edit or remove them. If you’re interested in contacting a vendor directly, please click the Request Free Quote button and it will walk you through your event details and send it off to the vendor. From there, our vendors will get back to you ASAP with a customized price quote right to your email inbox!
Ask for additional information if you need help making your decision
So you got a quote from a vendor, but you have more questions before you are ready to book. Once you receive a quote, you have the ability to message the vendor right through your account (if you need help logging in, just let us know!).
You will also receive the vendor’s contact information (phone number and email address). From there, please feel free to reach out and see if the vendor can provide you with more information (more reviews, audio/video, different package options, references, etc.). Vendors can provide you with expert insights and advice on what is most common at events and help put your mind at ease.
Check to see if your vendor is performing anywhere locally
In addition to asking vendors for more information, you may want to ask if you can meet with them ahead of time. Some vendors may be performing locally or have a public appearance that you may attend to help determine if they are the right fit for your event. You can check the calendar section of their profile page or send them a message to inquire on where you can see them ahead of booking.
Determine any venue requirements
If you’re hosting your event at a venue other than your home, it is best to confirm that outside vendors are permitted. Some venues may only allow specific vendors or not allow vendors at all. Some venues may also require vendors to have liability insurance.
In addition to checking with your venue, we recommend double checking with the vendor themselves to see if they have any specific needs for their service. This can include setup space, electricity, or anything else they may need to make sure your event goes off without a hitch!
Communicate and discuss event needs with your desired vendor
Communication is essential to making sure your event is exactly what you’re hoping for. Check out our 7 Topics to Discuss Before Paying a Nonrefundable Deposit for more information. We always recommend discussing these details with your vendor to minimize any potential miscommunications.
Understand your coverage
Once you have the information you need and are ready to book, please confirm the booking on The Bash to ensure you’re covered by Our Guarantee. It’s important that you read over this, as well our Event Protection Policy.
While we may not want to think about event cancellations during your search for the perfect vendor, it’s important to understand your coverage and establish solutions for anything you may encounter with your event.
Stay in contact along the way
Once an event has been officially booked through The Bash, we ask that you contact our Account Services team with any adjustments to your booked event. We always confirm changes with both the planner and the vendor so that we know both parties are in agreement of any changes or updates.
If you need help getting in contact with your vendor, making payments, or have any additional questions along the way, you can email us at info@thebash.com and we’d be happy to support you in any way we can!
